Data privacy

This notice explains how Dijkman Consultancy FZCO, Dubai, United Arab Emirates (“we”, “us”), the head office of the Capitalis Trading Solutions group and the operator of this website, handles personal data submitted through this website or sent to the general desk. The desk works from the operating office at Langeweg 11, 3261 LJ Oud-Beijerland, The Netherlands, which is also the address for correspondence about this notice. The General Data Protection Regulation (GDPR) applies.

Data we collect

When you send an enquiry, we receive your company, your name, your work email, and optionally your telephone number for a call-back and your role. With it we receive the data points of the enquiry: whether you are buying or offering a cargo, product, specification and edition, quantities, contract term or availability, delivery hub, named terminal, the title holder and storage contract holder where you are offering, delivery basis, price basis, the payment terms you propose or accept, the name of the issuing bank where you are buying, the contracting entity, and anything you write in the free-text field at the end of the form. We also record that you confirmed you had read this notice, and which version of it was published at the time.

Technical data: the server reads the IP address of the request to rate-limit the form. It is held in memory only, is not written to the enquiry record and is not used to identify you. The public website does not request document uploads, target prices, bank officer names, account details or proof of funds.

Purpose and legal basis

We use the data to assess whether an enquiry is complete and workable and to respond to it, which is a step taken at your request before entering into a contract (Article 6(1)(b) GDPR). We keep business records and protect this form against abuse, on our legitimate interest in knowing who we contract with and in keeping the enquiry channel working (Article 6(1)(f) GDPR). Analytics and campaign measurement run only on your consent (Article 6(1)(a) GDPR). Where a transaction proceeds, we keep the records that the tax and commercial rules applying to the contracting entity require (Article 6(1)(c) GDPR).

How enquiries are received

Website enquiries are submitted to an operator-controlled server endpoint and retained in access-restricted server storage. Where configured, an email notification is sent to the general desk. We do not sell personal data.

Where the data is processed

Enquiries are read by the desk at the operating office in the Netherlands, by the head office in the United Arab Emirates, and, where the enquiry concerns a transaction contracted in the United States, by Capitalis Trading Solutions LLC, Wilmington, Delaware. The United Arab Emirates and the United States are outside the European Economic Area, and we do not rely on a European Commission adequacy decision for either transfer: both are necessary for the pre-contractual steps you asked us to take and for a contract with you (Article 49(1)(b) GDPR).

Confidential information

Entity documents, bank references and preliminary verification material are exchanged only through controlled reciprocal onboarding after the initial commercial screen. Operative batch and storage documents follow a signed contract. Do not send any of them through the public form.

Analytics and campaign data

We use essential browser storage to remember your privacy choice. Analytics and campaign measurement are disabled unless you actively accept them through the cookie banner or settings control. When enabled, measurement may record page interactions and campaign parameters such as source and intent in a client-side data layer. You can revise your choice at any time through Cookie settings in the footer.

Sharing and retention

Data may be shared with our authorised service providers and, where a transaction proceeds, with the banks, inspectors and terminal operators involved in it. An enquiry that does not lead to a transaction is deleted within twelve months of the enquiry. Enquiry records are held in monthly files, and a whole file is deleted once its newest record is eleven months old, so no record outlives the twelve months. A deletion request before then is met by removing the record from its file; quote the reference you were given and we will confirm when it is done. Where a transaction proceeds, the contract file is kept for as long as the applicable record-keeping, tax and limitation periods require.

The people named on this website

The About page publishes the name, role and portrait of each member of the team, because a counterparty is entitled to know who it is dealing with and who is accountable for a transaction before it contracts. The legal basis is that same legitimate interest (Article 6(1)(f) GDPR). No private address, date of birth or personal history is published. A person named there may object at info@capitalis-trading-solutions.com, and the entry is removed unless there are compelling legitimate grounds to keep it.

Your rights

You may request access to your personal data and a copy of it, correction of inaccurate data, deletion, restriction of processing, and portability, and you may object to processing based on our legitimate interests, including profiling, at any time. Where processing rests on consent, you may withdraw it at any time without affecting the processing carried out before you did. These rights are subject to applicable law and to the record-keeping obligations above. Contact info@capitalis-trading-solutions.com. You may also lodge a complaint with a supervisory authority, in the European Union with the authority of your habitual residence, place of work or the place of the alleged infringement; for our point of contact in the Netherlands that is the Autoriteit Persoonsgegevens.
